We have been using ApnaComplex for about 7 months now and we are very happy with service and the product. There are two features in particular that have been very beneficial to us: community SMS and the payment portal.

We use community SMSs to give warnings about disruptions in services as well as to inform people about upcoming meetings and events. This has been a huge help as people now feel they get timely updates on important information.

The use of the payment portal has allowed us to greatly reduce the number of hours we used to spend going door to door to collect payments from individual owners. It has also facilitated timely payments from owners who do not live in the city or even in the country.

Finally, we would like to mention that the support we have received from ApnaComplex has been tremendous. Every time we have a question or a suggestion it is taken up in a very effective manner.

Refund to Members Made Easy in ApnaComplex

A New Year gift to ApnaComplex Treasurers!

ApnaComplex – your favorite Society Accounting Software now supports giving refund to members easily. One of the not-so-frequent scenarios that happen in a housing society is to refund money paid by members.

This usually happens when members pay excess amount to the society and later claim refund or when caution deposits made are to be refunded to tenants. In one of the cases we are aware of, a member has paid Rs. 90,000/- instead of Rs. 9,000/- by mistake to the society via NEFT only to claim a refund later.

We have been advising our treasurers a series of steps to issue a refund to members. Now, we have automated all these steps and issuing a refund is now as simple as any other financial transaction in ApnaComplex.

Just go to Income->Member Income. Filter on flat and select the ‘Add Refund’ icon against the flat to issue refund to members who have advance payment in their accounts. All you need to do is fill the amount of refund, mode of payment etc and you are done!
Like with all other scenarios, ApnaComplex takes care of all the accounting entries behind the scenes.

You can also view refunds given across the society, against specific flats easily – view the details of the refunds given and even delete refunds given if needed.

ApnaComplex Management Tools Enhancement: Track Ownership History of every Flat/Villa

We have released a new tool as a part of Society Management Tool-set – ‘Ownership History’.

Resale of flats is a very common transaction in most housing societies and there is a need to track such re-sale or ownership change as it impacts the association member list. Quite a few societies charge the new owners a ‘Transfer Fees’.

ApnaComplex, the leading Apartment Management Software now has a new module just to track ownership changes. All along, ApnaComplex was able to track changes to resident data through the ‘Member Directory’ module. The new module exclusively focuses on Ownership Changes and to maintain the history of ownership of a given flat / villa.

Administrator can now add/delete/update Ownership Records to each flat. When adding a new Ownership Record, admin will have to enter the various new information like owner name, purchase / registration date and other information necessary to create the record. Any past dated or future dated records can be added as well. The system automatically considers the record with latest purchase date as the current owner. All records with past dates will continue to be there in the system and can looked up at any time.

Like with all other bulk upload features in ApnaComplex, Administrators can import data into the portal using an excel sheet (template provided) here as well! Makes life easy, doesn’t it?

Members will not be able to see these records and exclusive access is provided only to Administrators.

With the already existing features of Tenant Lease Management and ability to associate multiple documents to every flat / unit, the ownership tracking nicely fits into the society data management tool-set.

Automate your Facility Maintenance Procedures using ApnaComplex

Check cleanliness of the corridors daily, Verify diesel levels once in three days, Send RO Water for testing once every week, Take count of fire equipment assets every month – these are few of hunderds of standard procedures that every society has to keep doing for ever!

In ApnaComplex, you now have an mechanism to automate all these through the Enhanced Action Item Tracker – one of the tools offered under our Smart Facility Management Toolset. The committee members can setup all can such procedures in the system with required frequency and all the estate manager has to do is to keep updating and closing these tasks. Email Reminders will be sent on all action items that are due every day so that no task is left unattended.

Following are enhancements that are released as a part of the face lift to the Action Item Tracker:

Create Recurring Action Items

Admins can now create repeating action items for a given date range. Action Items can created with daily, weekly or monthly frequencies.

Attach Recurring Action Items to Assets

The new recurring action items can be attached to Assets so that the maintenance schedules can be recorded easily. This shall replace the already existing ability of attaching maintenance schedules.

Bulk Update Action Items

Now, users can selected multiple action items and re-assign them to another staff/member, update a new expected closure date or even close/cancel action items. Mighty useful when a new committee joins or when an estate manager changes – simply select all and reassign!

You can now easily see Action Items that are due today, that are due this week with the new filters offered – makes it easy to focus on whats needed.

ApnaComplex Enhancement: Delegate User Management in ApnaComplex

Making the Community Administrators Happy – a new role “User Management Administrator” has been added to ApnaComplex.

This role shall enable Community Administrators to delegate User Management to others with out giving away the full control of the portal. The role based access control mechanism in ApnaComplex ensures that members having “User Management Administrator” role can add/de-activate users, update the profiles, approve/reject new users. All “Join” requests from members will go to the User Management Administrators, if configured.
