Security in Apartment Complexes – Concerns

Security is one of the main reasons why people prefer to buy (or rent) a flat in Apartment Complexes and Gated Communities. By design, Apartments are expected to offer better security as Apartment Associations can afford to hire security agencies to provide round the clock security in the property. There are many aspects to the security in Apartment Complexes – the key one being tracking entry and exit of Visitors into the Apartment premises.

Most apartments employ a “visitor’s register” – a log book where a visitor is expected to make an entry to record details of the flat she is visiting, and the purpose of the visit etc. This is surely one of the dispensable processes as it practically makes no difference if an entry is made or not. The entry does not validate anything from the visitor. Even worse, the log maintained is never audited for any accuracy – any attempts to do that will generally prove futile as data is illegible, incomplete and mostly inaccurate in almost all the societies. The security staff just ensures that the entry is made as a routine with out really validating its accuracy. Also, due to the paper-based nature of the log, its not possible to analyse the data. For example, things like identifying frequent visitors, list of visitors to a given flat in last 6 months is almost impossible for committee members.

Gatekeeper by ApnaComplex – Introduction

Gatekeeper is an innovative solution which addresses the challenges mentioned above regarding visitors tracking. Gatekeeper offers the following functionality:

  • Easy interface that can be operated by security staff (for example, the access to the android app is controlled by PIN number instead of typing complex passwords every time)
  • Ability to record visitors – automatically pre-populate details of frequent visitors based on the mobile number
  • Take picture of visitor’s vehicle or visitor
  • Send a verification code to the visitor’s phone number to ensure the phone number is valid
  • Quickly look up residents of the flat the visitor is meeting – this helps in validation – also SMS can be sent to the residents with details of visitors
  • Generate visitors pass and record exits

The most important aspect of Gatekeeper is its ability to run stand alone without internet connection and sync up with master database as and when internet connection is made available. Most societies have difficulty in getting internet connection at the security gate for various reasons. While one of the reason is surely cost related to providing an internet connection, the other reason for not enabling internet access to security is a potential misuse of the internet facility.

This is where Gatekeeper’s unique advantage comes in. Gatekeeper can work with out internet connection most of the time. Gatekeeper needs internet connection at the time of installation to populate the client side application with master data as a part of setup. The master data for a given community is picked up from the ApnaComplex server. Once setup, Gatekeeper need not have access to internet. Gatekeeper can store all visitor’s details on the tablet / mobile device – when internet is not available. Once internet is made available (for example, by bringing the tablet in vicinity of the society office’s wifi) Gatekeeper will automatically initiate sync up of all visitors passed to the server.

Major Updates to Parking Lots and Vehicle Management

ApnaComplex Vehicle and Parking Lot Management Module now has been significantly enhanced. Some of the key enhancements include:

1. Ability to Map Parking Lot to Flats: Before the enhancement, it was possible to associate a parking lot with a flat only if there is a vehicle. With the enhancement, you can now associate parking lots to flats with out any vehicles. You can do this mapping for every flat one after another OR import the mapping data into ApnaComplex portal using an excel (the excel template can be downloaded from within the portal).

2. Ability to “Enforce” mapping of parking lots with units: A new setting will control if the mapping needs to be enforced in the society. When enforced, no vehicle can be added into the portal with out the flat having the parking lot mapped. When not enforced, vehicles can be added to the parking lot with out even being mapped to a flat.

3. Introducing Number of Vehicles per Parking Lot: There is a distinct need in quite a few societies to allow more than one number of vehicles in a parking lot (for example, multiple two wheelers parked in single parking lot). All along we had a implicit restriction of one vehicle per parking lot. That’s changed now and admins can configure how many maximum vehicles are allowed to be associated with a parking lot.

With these enhancements, almost all societies can customize Vehicle / Parking lot module to implement their respective rules and policies.


Better Looking Scheduled Reports in your E-Mail

ApnaComplex scheduled reports is one of the most unique and widely used feature across all our customer base.

All along the reports were looking ‘dull’ in the few email clients compared to when viewed in the portal. Not any more!

We have now enhanced the emails we send with reports to be more ‘beautiful’ and to be same as what is seen on the portal. Those who have daily reports scheduled, should have seen the changes already and we are sure you are loving it 🙂


Maintenance Staff Enhancements: Agency name and tagging for Helpdesk Operations

Directory of Maintenance Staff in ApnaComplex is used at multiple modules in ApnaComplex – with primary usage being in Attendance Tracking and Complaint Box modules. We have enhanced maintenance staff directory to now optionally capture Agency Name to which the staff belongs to. When the society has multiple agencies, this helps in tracking the attendance of the staff of a particular agency and process the payment to the agency much easier.

In addition, we also have added a new tag to indicate if a particular maintenance staff attends to complaints. For example, if the society has 10 landscaping staff working in the association, not all of them would probably need be receiving complaints and working on them. Some of them would just be doing regular preventive maintenance activities. You can now tag who will be part of helpdesk – this reduces the clutter in the complaint box when assigning tickets.


Now, log into ApnaComplex via Facebook

ApnaComplex now supports login via facebook. No more need to remember one more password for ApnaComplex. Just go to ApnaComplex Login page and click ‘Login with Facebook’ button on the login page. Facebook shall prompt for permission for ApnaComplex to access your Facebook profile. Once you accept, you will directly land on the dashboard.

You can login via facebook even when you already have an account with ApnaComplex and are using it to login regularly. The system automatically matches your FB profile with ApnaComplex account details and lets you login. Users can continue to access ApnaComplex using regular email id and password as credentials, if they do not wish to use FB. Users can even switch between using FB and directly logging in as per their wish.

One password less to remember! And not to worry we will not post on your FB wall.

Housing Society Living – Setting up the Right Storage Plan
