Announcing Asset Maintenance Calendar in ApnaComplex

Announcing a new tool under the Smart Facility Management Tool-set available in ApnaComplex – Asset Maintenance Calendar.

In ApnaComplex you could always attach a maintenance schedule to assets and asset groups. In addition to the recent feature of Automate Facility Maintenance Procedures in ApnaComplex, ApnaComplex now supports a ca lander view of the entire asset maintenance schedule.

The calendar can be viewed at individual asset level, asset group level or for all assets with color-coded entries for activities that are overdue. Go to Directory->Assets to see the new calendar for all assets and asset groups! Click on the ‘View Maintenance Schedule’ in the asset list and asset group list for specific activities.

ApnaComplex Management Tools Enhancement: Track Ownership History of every Flat/Villa

We have released a new tool as a part of Society Management Tool-set – ‘Ownership History’.

Resale of flats is a very common transaction in most housing societies and there is a need to track such re-sale or ownership change as it impacts the association member list. Quite a few societies charge the new owners a ‘Transfer Fees’.

ApnaComplex, the leading Apartment Management Software now has a new module just to track ownership changes. All along, ApnaComplex was able to track changes to resident data through the ‘Member Directory’ module. The new module exclusively focuses on Ownership Changes and to maintain the history of ownership of a given flat / villa.

Administrator can now add/delete/update Ownership Records to each flat. When adding a new Ownership Record, admin will have to enter the various new information like owner name, purchase / registration date and other information necessary to create the record. Any past dated or future dated records can be added as well. The system automatically considers the record with latest purchase date as the current owner. All records with past dates will continue to be there in the system and can looked up at any time.

Like with all other bulk upload features in ApnaComplex, Administrators can import data into the portal using an excel sheet (template provided) here as well! Makes life easy, doesn’t it?

Members will not be able to see these records and exclusive access is provided only to Administrators.

With the already existing features of Tenant Lease Management and ability to associate multiple documents to every flat / unit, the ownership tracking nicely fits into the society data management tool-set.

Automate your Facility Maintenance Procedures using ApnaComplex

Check cleanliness of the corridors daily, Verify diesel levels once in three days, Send RO Water for testing once every week, Take count of fire equipment assets every month – these are few of hunderds of standard procedures that every society has to keep doing for ever!

In ApnaComplex, you now have an mechanism to automate all these through the Enhanced Action Item Tracker – one of the tools offered under our Smart Facility Management Toolset. The committee members can setup all can such procedures in the system with required frequency and all the estate manager has to do is to keep updating and closing these tasks. Email Reminders will be sent on all action items that are due every day so that no task is left unattended.

Following are enhancements that are released as a part of the face lift to the Action Item Tracker:

Create Recurring Action Items

Admins can now create repeating action items for a given date range. Action Items can created with daily, weekly or monthly frequencies.

Attach Recurring Action Items to Assets

The new recurring action items can be attached to Assets so that the maintenance schedules can be recorded easily. This shall replace the already existing ability of attaching maintenance schedules.

Bulk Update Action Items

Now, users can selected multiple action items and re-assign them to another staff/member, update a new expected closure date or even close/cancel action items. Mighty useful when a new committee joins or when an estate manager changes – simply select all and reassign!

You can now easily see Action Items that are due today, that are due this week with the new filters offered – makes it easy to focus on whats needed.

Society Data Management Enhancement: Create Custom Committee Member Roles in ApnaComplex

All along, we supported standard committee roles of Chairman, President, Treasurer Sub-Committee Member etc. – but with the new generation committees there are more and more fancy designations coming into play 🙂

Accounting Enhancement: Service Tax for Non-Member Income

One more enhancement to our Housing Society Accounting Software! With recent Service Tax Regulations that came into effect from July 1st 2012 – most income earned by a Co-operative Housing Society has come under the ambit of Service Tax. Unlike the maintenance charges where Service Tax is applicable only if it exceeds Rupees Five Thousand per member per month – additional income that the society earns usually in form of renting out premises for commercial activities or promotions come under the ambit of Service Tax. (Please check with your auditor for exact interpretation of the regulations and if your society needs to collect Service Tax on all the income generated through sources other than members.)

While all along your favorite Housing Society Software – ApnaComplex – had the ability to record service tax collected with help of Journal entries, a much more easier and straight forward way is now supported in the Non-Member Income module. When adding new Non-Member Income entries, you can now explicitly specify service tax amount being collected from the third-party. This amount would automatically go into the Service Tax Payables core account. When the collected Service Tax is deposited to Government, you can record the same in the system under Expenditure->Vendor Payables->Pay Tax/TDS tab.

Admins can edit/revert/delete the Non-Member Income entries to change the service tax or other elements of the entry to rectify any mistakes.

The bulk upload feature for Non-Member Income also supports the service tax making it lot easier to import data into ApnaComplex.

In addition, admins can now update their PAN and Service Tax Registration numbers in Complex->Settings and these would automatically be reflected on all accounting vouchers.

Accounting Enhancement: Reconcile Cash/Bank Transactions in Bulk

As a latest enhancement to our Housing Society Accounting Software, auditors accountants and housing society treasurers can now reconcile bank and cash transactions with the actual bank account in bulk in ApnaComplex. Select one or more ledger entries (or Select All) and click ‘Reconcile’ or ‘Unreconcile’ to do bulk reconciliation of the ledger entries – saving time and efforts.

Also, you will now be able to see the book balance and bank balance right below the reconciled statement which gets auto refreshed as you mark ledger entries as reconciled/unreconciled.

Accounting Enhancement: Automatically Reconcile ApnaComplex Accounts with your Soceity Bank Accounts

In yet another first in Housing Society Accounting Software, ApnaComplex now supports automatic reconciliation of your bank account with the bank ledger account maintained in ApnaComplex.
 
Auto-reconciliation in Society Accounting Software
1. Society Treasurers / Auditors can Upload the bank statement in ApnaComplex reconciliation module.
2. Society Treasurers / Auditors have a choice to ignore those transactions that are already reconciled.
3. ApnaComplex attempts to match the bank entries with the ledger entries based on narration, cheque number, deposit/withdrawal amounts.
4. If a match is found, ApnaComplex marks the ledger entry reconciled and updates the bank date field of that ledger entry
5. If multiple matches are found, the same is updated in the reconciliation notes.

Summary of the reconciliation is presented along with the list of entries present in the bank statement that could not be reconciled. Treasurers can download these entries into an excel to maintain a record. Treasurers / Society auditors can validate and overwrite any records if needed. In addition, the auto-reconciliation can be done any number of times.

Auto-reconciliation should save significant efforts for Treasurers / Auditors using ApnaComplex.

Announcing Photo Gallery – Share Photos within the Society in ApnaComplex

We are happy to announce the launch of a new Photo Gallery Feature for Housing Socities on ApnaComplex as a part of the Community Collabaration Tools. Housing societies always have the need to share pictures of various community events such as cultural fests, Republic Day & Independence Day events, festival celebrations such as Holi, Diwali, Christmas, New Year.
Now, capture events of your society in pictures and upload them in ApnaComplex
Till now, members of Housing Societies had no option but to upload the photos to public photo sharing sites such as facebook, picassa, flikr and then share the url with the society members. With this approach, not only the photos are distributed across multiple sites and albums owned different members – it is not possible to restrict access to such public albums to only the society members as any one who knows the URL can access the photos.

Now, with the Photo Gallery feature in ApnaComplex, members can upload photos of thier Society events into ApnaComplex and then share it with rest of the society. The photos will only be visible to the members of the society and not to any outsiders. Members can comment on the photos. One can create any number of albums per thier liking and upload multiple photos at the same time. ApnaComplex takes care of the photo resizing without losing the aspect ratio for the uploaded photos to ensure the photos are available for web based viewing.
